Setting Up

Setting up is the configuration you do once for the whole account, before appointments and reminders start. Everything here is under the Settings area, apart from users, who have their own Users area. Most of it is done by one person, then left alone until something changes: a new site, a new member of staff, a new sender ID.

Before you start

Every Settings screen needs one of the Account Owner, Account Administrator or Change Settings permissions. There are two exceptions. Managing users needs Account Owner or Account Administrator, and Account Policies needs Account Owner.

Order matters

Some screens pick from lists that other screens fill. Reminder settings choose a location and a sender ID, and appointment types choose a department, waiting room, reminder setting and location. Set up the foundations first and each later screen has something to select. Your First Week gives the full order and explains what each step depends on.

  • Account Setup: the fields on each setup screen, in one place.
  • Locations: the physical sites appointments happen at, and how they filter appointment types, resources and reminder settings.
  • Schedules: when one or more users are unavailable for appointments, including recurring patterns and free time within a busy period.
  • Policies: account-wide rules, such as requiring two step sign in or a waiting room on every appointment.
  • Users and Permissions: adding people to the account and choosing what each can see and do.
  • Sender IDs: applying for a branded SMS sender ID and getting it approved.
  • Resources: rooms, equipment and people that can be booked alongside an appointment.
  • Departments: grouping users and appointment types for reporting and access control.
  • Waiting Rooms: where clients wait, and optional limits on capacity.
