# Patients by location

## Why this matters

When one list serves several sites, the total hides where the demand is. Patients by Location
counts clients for each site and status, so capacity can be moved to the location with the longest
queue.

## Before you start

The report uses the **Location** set on each waiting list entry. See
[Adding and Managing Clients](/docs/waiting-lists/adding-and-managing-clients/).

## Options

| Option | Choices |
|---|---|
| Formats | View, CSV, PDF |
| Dates | None: the report shows the lists as they are now |
| Filters | **Users** (the users assigned to the entry), **Waiting Lists**, **Status**, **Priority**, **Locations** |
{.table}

See [Running Reports](/docs/reporting/running-reports/) for the steps.

## What it contains

One row per location in name order, then **(no location)** for entries without one, and a
**Total** row at the end.

| Column | Meaning |
|---|---|
| Location | The location set on the entry |
| Triage, Waiting, W&S, Review, Attended, Suspended, Removed | The number of entries in each status |
| No Status | Entries with no status. Only shown when there are any |
| Total | All entries at the location |
{.table}

The CSV file has the columns **Location**, one column per status with its full name, **No
Status** and **Total**.

## What to watch for

**Most clients are under (no location)**
Entries left at **None** when they were added have no location. Set a location on every entry for
lists that cover more than one site.

**Counts are lower than the list itself shows**
Unless you have **Can view All Appointments**, the report only includes entries with an assigned
user. See [Running Reports](/docs/reporting/running-reports/#before-you-start).
