# Clients list

## Why this matters

The Clients List report gives you client records in bulk: everyone in a group, or the whole
account. Use it to check data quality before a reminder campaign, to review who is in a group, or to
take a copy of client records into a spreadsheet.

## Options

| Option | Choices |
|---|---|
| Formats | View, CSV, PDF |
| Dates | None: the report lists clients as they are now |
| Filters | **Groups**; **Exclude archived clients** (the default), **Include archived clients** or **Only include archived clients** |
{.table}

See [Running Reports](/docs/reporting/running-reports/) for the steps.

## What it contains

| Column | Meaning |
|---|---|
| Client | The client's name, and the date they were archived if they have been |
| Address | The client's address |
| Contact Details | Mobile, phone and email |
| Details | Date of birth and gender |
| Groups | The client groups the client belongs to |
{.table}

The CSV file puts each detail in its own column: **First Name**, **Last Name**, **Address1** to
**Address5**, **Phone**, **Mobile**, **Email**, **Date Of Birth**, **Gender**, **Archived** and
**Group Memberships**.

## What to watch for

**Phone numbers change when the CSV is opened in Excel**
Excel can drop a leading zero or turn a long number into scientific notation. See
[Phone Numbers in Excel](/docs/clients/phone-numbers-in-excel/).

**Archived clients are missing**
The report excludes archived clients unless you choose **Include archived clients** or **Only
include archived clients**.

**The file contains personal data**
Store and share the CSV and PDF files as you would any other record holding client data.
