Versions of Diarybook
Diarybook is currently delivered in two main versions: Version 8 (also known as Desktop) and Version 10. This page explains why multiple versions exist and how they differ.
Diarybook Version 8 (Desktop) is the original platform launched in 2011. It remains a dependable, high-performance solution trusted by thousands of users for daily appointment management.
As technology evolved and users required broader multi-device access, Version 9 (Portal) was introduced in 2020, offering a modernised interface and improved usability across more device types. In 2026 the portal was upgraded to version 10.
Both versions provide access to the same underlying appointment engine, reminder platform, and billing framework—ensuring consistency, reliability, and seamless service regardless of the interface used.
With Version 10 Diarybook is entering its next generation — our most secure, advanced and forward-focused platform to date.

| Locations | Map appointment types, rooms, equipment and reminder settings to physical locations. Filters the options shown when booking and allows location details to be merged into patient reminder messages. |

| Appointment logs | A full audit trail of changes made to each appointment — who made the change, what changed and when. |

| Client files | Attach and manage documents against a client record. Files are stored securely and accessible to authorised users from within the client record. |
| Client deduplication | Identify and merge duplicate client records to keep your client list clean and ensure reminder history is consolidated in one place. |

| Progress notes | Record and store clinical or session notes against a client record, with a dated history of entries. |
| Room booking | Reserve rooms and equipment as part of the appointment booking process, with conflict detection to prevent double-booking of shared resources. |
| Reporting | Account-level and per-user reporting on appointment volumes, attendance, DNA rates and reminder activity. |
| Full search | Search across clients, appointments and records by name, identifier, date or other fields — including historical records. |
| Waiting list management | Manage and communicate with patients on a waiting list, including bulk messaging tools for notifying groups of patients about available slots. |
| Public displays | Drive waiting room screens showing called patients and current status — integrated with the appointment schedule. |
| Account policy management | Centralised control of account-wide settings including access permissions, password policies and session rules. |
Development strategy
Version 8 will continue as a stable and carefully controlled environment for users who rely on its long-established workflows.
- Core functionality such as appointment management and client management will remain unchanged.
- It will continue to benefit from all advanced messaging and reminder services.
- Over time, some configuration and settings screens will gradually be migrated to the Portal/Version 10 environment.
- Reporting screens will continue to migrate to version 10.
- The primary goal for Version 8 is stability and protecting existing user workflows and resources.
Version 10 represents the future of Diarybook and will be the central focus of all innovation and new development.
